Your Sign-in ID was chosen by BioChill when your account was created, and is in the email that welcomed you to the portal. Your password is issued separately by your BioChill contact; it is never sent by email.
Forgotten your password? Use the "Forgot your password?" link on the sign-in page to reset it yourself. If that doesn't reach you, for example because your contact email has changed, contact your BioChill representative and they'll issue you a new one instead.
Before you can place your first order, tell us your GST identifier, who we should contact and on what telephone number, and where to invoice and deliver to. You supply and correct these yourself once signed in; we never retype them from a phone call.
Make any address changes before placing an order. Once submitted, an order keeps the details it was placed with, so correcting them afterwards won't change where that order was shipped.
We also ask whether the site we deliver to has a forklift and whether it has a pallet jack. A freight quote depends on how a pallet comes off the truck, so we need a definite yes or no for each. If your account doesn't hold an answer yet, we'll ask when you submit your next order.
The products and prices you see are what's been agreed with BioChill in advance. Some accounts also have volume pricing: order enough of a product within a calendar month and a better rate applies. The portal shows you when a product is close to its volume rate, and when that rate is being applied.
If a product you expect to see is missing, it hasn't been listed on your account yet. Ask your BioChill contact to add it.
Occasionally a product is shown greyed out as temporarily unavailable. Your pricing for it is kept, and ordering reopens as soon as BioChill lists it again; in the meantime, contact BioChill if you need it.
Each product has a minimum order quantity, and once you've reached it you can add more in fixed increments. Check the product listing for the exact numbers.
| Product | Unit price | Minimum / increment | Qty | Total |
|---|---|---|---|---|
| Mini Metro V2 MM02 | x | 70 / 70 | 140 | x |
A Basket is a saved, still-editable list of products and quantities. Nothing is committed while it's a Basket, and its prices are live, not fixed. You can hold several at once.
Submitting a Basket is what raises a Purchase Order: at that moment prices, totals and the terms you're accepting are all locked in for good.
When you submit, you can also tell us the day you would like the goods to arrive. It's optional, and it's a request BioChill will try to meet rather than a promise; if a date can't be met, we'll phone you.
Freight is handled one of four ways, and depending on your account you may see some or all of these when you submit an order. The everyday option, always available unless your pricing already includes freight, is a quote from BioChill that you then approve. Some accounts can also auto-accept a quote, so the order confirms without a further approval step as long as the quote is within the account's auto-accept limit (a higher-than-usual quote is sent for approval instead), or exclude freight from the order entirely. And for some accounts, freight is already included in their pricing, so no separate freight quote applies at all.
Which of the other options your account can use is something BioChill sets up for you. Ask your contact if you're not sure which options you'll see.
Once you submit an order you'll get an email confirming we've received it. If it needs a freight quote, we'll email you again once that's ready for your approval; once everything is settled you'll get a final confirmation.
You can always check an order's current status by signing in and opening it from your dashboard.
Every order gets a reference built from BioChill's name, your own Customer Code, and a running number just for your account, for example BIOCHILL-ACMESYD-0042. It says whose order it is and how many you've placed, and it never changes once assigned.
You can raise a fresh Basket from any past order, including a cancelled one. Only the quantities carry over, never that order's prices or totals, which stay frozen to when it was originally placed.
The terms you accept when you submit an order, and our Privacy Notice explaining what personal data we hold and why, are both linked from the portal itself.
For anything this guide doesn't cover, your BioChill contact is the fastest way to get an answer.
